We are seeking an experienced, reliable, and results-oriented Production Coordinator responsible for overseeing programs with residential new construction and rehabilitation activities in a scattered lot environment.
The Production Coordinator reports to the Program Manager.
Candidate should be self-motivated, detail oriented, able to multi-task with advanced problem-solving techniques, proficient in communication skills with timely follow up, uphold high value for customer service relationships and exemplify our core values.
Travel Requirements:
This position is based out of various field offices where DSW Homes operates.
The Production Coordinator may be required to travel short distances to perform tasks on behalf of the business.
FLSA & Employment Status This is a full-time non-exempt position.
Essential process driven functions include, but are not limited to the following:
Schedules Expedite building permits and utility disconnections and re-connections.
Assist the Project Manager with field coordination between the company and trades.
Update schedules on Internet based software, making detailed notes.
Prepare and maintain project records including daily, weekly, and monthly project status reports.
Record and track delays as per specific contract requirements.
All other duties as assigned.
Budget Review monthly billings on all projects as needed with Accounting Department Perform QC Review of Site Walk Documents and capture scope revisions.
Review plans and scopes of work for structural and any other revisions as may be needed.
Order Elevation Certificates, surveys, site plans.
Assist with change orders, RFI's, submittals, and project updates as required per specific programs.
Perform file reviews at key milestones to verify that the processes used to manage construction activity, construction files, and closeout documentation are followed.
All other duties as assigned.
Quality Accurately track and process all documents (plans, permits, utility applications, etc.
) on all jobs assigned in a timely manner.
Submit RFI's to engineers.
Communicate with cities and municipalities about permitting requirements and the relay of requirements to Project Managers and others on team.
Coordinate Third Party Code and Program Inspections, ensuring inspection documentation is saved in electronic files.
Scan, email and file documentation for each job on a daily basis.
Maintain both digital and hard copies for each job.
All other duties as assigned.
Customer Service Establish and maintain frequent and regular communication with homeowners.
Answer phones and direct clients to the proper person.
Interact professionally with co-workers, suppliers, subcontractors, and customers.
Offer administrative support to the Project Manager and others on the management team as needed.
Work independently and within a team environment on special projects as needed.
Assist Project Managers and Pre-Con team with current project duties as needed.
Keep the office stocked with all the necessary materials and supplies.
All other duties as assigned.
Education and Skill Requirements:
High school diploma required.
Previous experience in residential construction is preferred but not required.
1-3 years' experience in a professional office setting Experience expediting permits within cities and counties is a plus.
Excellent verbal and written communication skills.
Must be attentive to details and willing to learn.
Microsoft Office skills, with an ability to become familiar with firm-specific programs and software.
Ability to meet all assigned deadlines.
Ability to handle sensitive information with the highest degree of integrity and confidentiality.
Flexible and able to accommodate changing priorities and directions.
Ability to work independently as well as in a team environment.
